What You'll Do
1. Client Services and Intake Support
- Welcome and greet clients and office guests with warmth and professionalism.
- Assist clients with new client intake, including collecting demographics, creating client charts, sending welcome emails, and scheduling initial appointments.
- Schedule subsequent prenatal and postpartum care appointments based on provider recommendations and client needs.
- Answer client phone calls in a professional manner, providing assistance or directing inquiries to the appropriate person.
- Maintain open communication with clients, ensuring they feel supported and informed throughout their care journey.
2. Administrative and Documentation
- Maintain accurate electronic clinical records, uploading necessary documentation to support provider workflows.
- Accept and accurately record client payments for services rendered.
- Report any client complaints or incidents to the Director of Clinical Services, ensuring timely resolution.
- Ensure compliance with HIPAA and OSHA safety standards in handling client information and clinic operations.
- Assist with tracking clinic administrative needs and financial processes, ensuring smooth day-to-day operations, including processing invoices and managing office-related expenses.
3. Clinic Flow and Operational Support
- Support a well-organized clinic environment, including keeping supplies stocked and assisting with day-to-day operational needs.
- Monitor and restock office and clinical supplies, ensuring providers and staff have what they need.
- Assist with coordinating clinic resources, such as vendor communications, supply ordering, and workflow organization.
- Attend team meetings and professional development opportunities to stay informed on best practices in client service, healthcare administration, and clinic operations.

Who You Are
- Bilingual in English and Spanish (required) with the ability to effectively read, write, and speak in both languages.
- High school diploma or equivalent required; Associate’s or Bachelor’s degree in social services, healthcare administration, business management, or a related field preferred.
- 2-3 years of experience in a client-facing role such as reception, customer service, social work, or healthcare administration.
- Strong organizational and time management skills, with the ability to multitask and handle high client volumes.
- Experience assisting with clinic flow, scheduling, or operational coordination.
- Proficient in Google Suite and electronic medical record systems (EMRs such as Client Care, Maternity Neighborhood, or Mobile Midwife).
- Empathetic, patient, and community-driven, with a passion for supporting families.
- Ability to work independently and collaboratively, maintaining professionalism under pressure.
- Resident of South Dallas (preferred).
- Physically capable of lifting up to 15 pounds and standing or sitting for extended periods.
